Office Relocation Checklist: An 8-Week Plan for Zero-Downtime Moves

A practical, week-by-week checklist for moving an office without losing working days — floor plans, IT cut-over, records, approvals and a phased-versus-weekend comparison.

How far in advance should we plan an office relocation?

Start planning at least eight weeks before your target go-live date. This gives enough time for building approvals, IT cut-over coordination, GST and bank address updates, and floor plan finalisation. Smaller offices under twenty seats can compress this to five to six weeks if approvals come through quickly.

An office move fails on two things: the team cannot work on Monday, or something goes missing and nobody knows which desk it belonged to. Both are planning problems, not moving problems. This checklist works backward from your go-live date and gives you a sequence that any admin team can run, whether you are moving a ten-seat office in Karimnagar or a hundred-seat floor in Hyderabad.

Set the go-live date first, then work backward

Before anything else, fix the exact morning your team must be seated and working at the new address. Every other date on this checklist is counted back from that one. If the go-live date moves, the whole plan shifts with it — so agree it with leadership and building management before you start assigning tasks.

TimeframeAction
8 weeks beforeConfirm new address, lease terms, and go-live date. Book building management approval and lift access at both premises.
6 weeks beforeWalk both floors with your moving partner. Note lift size, loading bay hours, stair access, and any restricted-entry timings.
5 weeks beforeDraft the new floor plan and assign seat numbers. Start the desk and asset labelling scheme.
4 weeks beforeNotify clients, vendors, banks and update the registered address on GST and other statutory portals.
3 weeks beforeFinalise the IT cut-over plan with your internal IT team or vendor. Decide phased or big-bang move.
2 weeks beforeStart packing non-critical items — reference books, spare furniture, storage cabinets not in daily use.
1 week beforeFreeze the seat map. Confirm the moving crew, vehicle size and cut-over window in writing.
Move weekendIT and records move first under supervision, then bulk furniture and workstations in sequence.
Day of go-liveWalk the floor before the team arrives. Fix any last placement issues before 9 am.

Floor plan and seat mapping

Get the new floor plan drawn to scale before you touch a single carton. Assign every seat a number, and map each employee, desk, chair and cabinet to that number. This single document becomes the reference for labelling, loading order and the handover walk-through — everything else in the move points back to it.

  • Mark power points, network points and AC vents on the plan so desks are not placed against a wall with no socket
  • Keep the seat map in a shared drive, not just a printout — someone will need it on move day even if the paper copy is misplaced
  • Flag cabin and meeting room furniture separately, since these usually move as a unit rather than by individual chair
  • Reserve a small buffer of unassigned seats for new joiners or department growth in the first few months

Desk and asset labelling

Every desk, chair, cabinet, CPU and carton gets a code that maps directly to a seat on the floor plan — for example FL2-S14 for the fourteenth seat on the second floor. This is the single change that prevents a move from turning into a guessing game at the new office.

  1. 1Print the seat codes on adhesive labels large enough to read from a few feet away, not small stickers
  2. 2Label the item itself and the matching carton with the same code, on two visible sides
  3. 3Keep a master sheet — physical or in a spreadsheet — mapping every code to an employee name and item description
  4. 4Colour-code by department or floor if the office has more than thirty seats, so the loading crew can sort visually

IT and server cut-over sequencing

IT equipment needs its own sequence, run jointly with your internal IT team or vendor — the movers should never make network or server decisions on their own. Agree the cut-over window at least three weeks ahead, because IT teams often need a change window approved separately from the physical move date.

  • IT team backs up servers and critical data before anything is unplugged, independent of the physical move
  • Cables are labelled and photographed at the port before disconnection, so reconnection at the new office is a match, not a puzzle
  • CPUs, monitors and network gear are wrapped in anti-static material, never loaded loose with general furniture
  • Servers and network racks travel in a separate, supervised trip rather than mixed into a general furniture load
  • IT team is present at the new office before the bulk load arrives, so racks and switches go live first and desks can be tested as they are set up

Statutory records and their indexing

Files that support tax filings, audits, employee records and contracts cannot simply be boxed and hoped for. Before packing, prepare an index — a list of what each carton contains and where it goes in the new filing system. This is separate from the general packing list because these cartons should never be opened by anyone outside your admin or finance team.

  • Number cartons sequentially and log the contents of each one against that number, not by category alone
  • Seal statutory-record cartons with tamper-evident tape and keep them in the custody of a named staff member during transit
  • Move original signed contracts and licences separately from photocopies, and keep a scanned backup before the move
  • Reconcile the carton count against the index the moment the load reaches the new office, before anyone signs the delivery sheet

Informing clients, banks and the GST portal

An address change affects more than your letterhead. Update the principal place of business on the GST portal, inform your bank for cheque books and statements, and notify clients and vendors who send physical correspondence or visit the office. Start this at least four weeks out — GST address amendments and bank updates both take processing time and sometimes a physical verification visit.

  • File the GST amendment for change of address with supporting documents (rent agreement or ownership proof of the new premises)
  • Update the address with your bank, insurance providers and any government registrations tied to the office (Shops and Establishment, professional tax, etc.)
  • Send a written notice to key clients and vendors with the new address and the effective date
  • Update the address on your website, invoices, visiting cards and Google Business listing before go-live, not after

Building approvals and lift booking

Multi-storey buildings in Hyderabad and most commercial complexes in Karimnagar require written approval from building management before a move, along with a booked lift slot. Apply for this early — many buildings only allow moving traffic during specific hours, and a lift booked for the wrong slot can stall the entire day.

  • Get the moving date and time slot confirmed in writing by building management at both the old and new premises
  • Ask about loading bay access, visitor parking for the moving vehicle, and any security deposit for lift use
  • Check whether large furniture needs to go up the staircase instead of the lift, and plan crew time accordingly
  • Share the security guard or facility manager contact with your moving partner so the crew is not held up at the gate on move day

Phased move versus a single weekend move

There are two practical ways to run an office move, and the right one depends on your team size and how much the business can tolerate split operations.

ApproachBest forTrade-off
Phased move (department by department, over 1-2 weeks)Larger offices where operations must continue throughoutTeam is split across two addresses for longer, and IT has to support two live locations at once
Single weekend / big-bang move (everything moves Friday evening to Sunday)Smaller and mid-sized offices, or any office that can close for a weekendCompresses risk into two days — needs tighter planning but gets the whole team into one place on Monday

Aadhya Packers and Movers runs most office moves in Karimnagar and Hyderabad as weekend moves, because a clean single cut-over is easier for IT teams to support and avoids running two offices in parallel. For larger floors, a phased move over two consecutive weekends is more realistic than trying to compress everything into forty-eight hours.

On the day of the move

  1. 1IT and statutory records move first, under direct supervision, before general furniture loading begins
  2. 2Furniture and workstations are dismantled and loaded in the sequence set by the floor plan, not randomly
  3. 3A single point of contact from your side stays reachable through the day for both the old and new premises
  4. 4At the new office, cartons and furniture are placed by seat code as they arrive, not stacked in one corner for later sorting
  5. 5Before signing off, walk the floor against the seat map and flag anything missing or misplaced immediately

Questions people ask

How far in advance should we plan an office relocation?

Start planning at least eight weeks before your target go-live date. This gives enough time for building approvals, IT cut-over coordination, GST and bank address updates, and floor plan finalisation. Smaller offices under twenty seats can compress this to five to six weeks if approvals come through quickly.

Should we move on a weekend or in phases?

A weekend move works well for offices that can close for two days and gives a clean single cut-over. A phased move, department by department, suits larger offices that must keep operating, though it means running two locations and dual IT support for a longer stretch.

How do we label desks and equipment for an office move?

Assign every seat a code from the floor plan, such as FL2-S14, and apply the same code to the desk, chair, related cartons and equipment. Keep a master sheet mapping each code to an employee and item description so the new office can be set up exactly as planned.

Who handles the server and network cut-over during an office move?

Your internal IT team or vendor should own the cut-over decisions — backups, cabling, and go-live sequencing. The movers pack and transport the hardware safely with anti-static material, but powering down, backing up and reconfiguring stays with IT, coordinated to a shared timing plan.

Do we need to update our GST address before or after the move?

Start the GST amendment for change of address as soon as the new premises agreement is signed, ideally four weeks before the move. It requires supporting documents and can take processing time, so beginning early avoids a mismatch between your physical address and registered address.

How do we keep statutory records safe during an office move?

Prepare a carton-by-carton index before packing, seal record cartons with tamper-evident tape, and keep them in the custody of a named staff member during transit. Reconcile the carton count against the index immediately on arrival, before signing any delivery sheet.

What building approvals are needed for an office move in Hyderabad?

Most commercial buildings require written approval from building management along with a booked lift or loading bay slot for a specific date and time window. Apply early since many buildings restrict moving traffic to certain hours, and confirm the same at the new premises.

Does Aadhya Packers and Movers handle office moves outside Karimnagar?

Yes, office relocations are handled across Karimnagar, Sircilla, Siddipet, Peddapalli, Jagtial and Hyderabad, including routes between these towns. IT equipment, statutory records and workstations are moved with the same labelling and sequencing approach regardless of distance.
